First Annual Business Meeting

February 28, 2010

Approved Minutes – Approved at 3/11/10 BOD Meeting

The meeting was called to order by President Bobi Atlee at 11:42 a.m. at the Southcenter Bahama Breeze.

Board members in attendance were:  Bobi Atlee, Dave Calhoun, Alicia Smith, Anne Johnston, and Patti McClements.

Bobi gave a quick safety overview and had everyone in the room who is CPR trained to raise their hands.

Bobi also reviewed meeting norms and asked that everyone turn off their cell phones, please state your name when you address the group and avoid any sidebar conversations.

The minutes of the last Business Meeting, held in September 2009 were reviewed and approved at the regularly scheduled October Board Meeting.  They are posted at phops.com if anyone would like to see them.

The minutes of the January Board meeting will be reviewed and approved at the March 11, 2010 Board meeting.  The draft minutes are available at phops.com.

OFFICER REPORTS:

Communications Director – Patti McClements

Patti started out by thanking everyone for the cards, emails, flowers, and Facebook posts after her surgery.  She stated that the year had gone by very quickly and she would just touch on some highlights.  Hump Day News seems to be going very well and she thanked everyone for being prompt with the 5:00 p.m. Monday deadline.  In 2009, it was decided that we would “sell” advertising space in HDN for $1 per week.  So far, two members have inquired about advertising but so far, none have submitted their check or their ad.  All fees collected for HDN advertising are donated to charity.  Patti also informed those in attendance that our HDN not only goes to our club members, but to PHiP officers, and our neighbor clubs in Eastern Washington and Portland.  Patti stated that she has been honored to be selected as PHiP Regional Communicator and told everyone that the Western Region encompasses 13 states, and three Canadian Provinces, so our events are being posted on the regional calendar for everyone to see.  Patti then introduced George Margetan, Editor of our new monthly newsletter the Cascade Conch.  George has done an amazing job of putting this together.  Patti invited George to say a few words.  George asked everyone to please submit things to him by the 22nd of the month for publication on the 2nd of the following month as it does take some time to compile everything.  Everyone in attendance gave George a round of applause for his efforts.

Fundraising Director – Anne Johnston

Anne reported the details of the Christmas Party reporting on the amount of toys and gift cards donated to the Seafair Pirates Treasure Chest.  She stated that the Hugo Duarte show raised approximately $1600 for Old Dog Haven and that $136 was collected at Freaky Tiki Friday for Operation Cookie Drop, buying Girl Scout Cookies for the soldiers overseas.

Membership Director – Dave Calhoun

Dave reported that we have had six new member email applications since the January 13th, BOD meeting resulting in 14 new members.  We currently have 199 active members (keets are not included in this total).  As it stands right now, we lost 44 members in the January membership drive.  Dave has been in contact with some of them and we should pick up some of the non-renewed members when they can afford to do so, or eventually realize they have been dropped from the mailing list.  The current recruitment contest runs through March 31, and right now Dave has the lead with two members, Alicia Smith has one, Jet Parrett has one, and Mike Beste has one.

Treasurer – Alicia Smith

Alicia reported that there is currently $4068.16 in savings, $320.85 in our PayPal Account, and $1323.39 in checking.  These totals do not include all of the checks received and written this morning.

President – Bobi Atlee

Bobi touched on some highlights for 2009:

  • ·         We are once again a sanctioned PHiP member in good standing and have our certificate on file
  • ·         We submitted our club history to Margaritaville for their club spotlight feature
  • ·         We created and used a new RFP (Request For Proposal) for entertainment at our events
  • ·         We successfully revised our by-laws so they more closely reflect what the club is doing now
  • ·         Kathy Pompeo is updating our membership badges
  • ·         We are nearly finished with the process to become a 501c7 organization
  • ·         George Margetan has begun producing our Cascade Conch monthly newsletter
  • ·         We are putting out Come Monday for members of our club currently seeking employment
  • ·         We are helping to support other PHC events by sending merchandise, auction baskets and having our members help with the events

Bobi stated that her goal for 2010 is to get our name out there by participating in some events that are new to us, for example, an auction basket will be supplied to Tux and Tails, which benefits the Human Society.  Bobi will be collecting items for that basket through mid-March.  Another new event is the American Lung Association walk; Bobi will be forming a team and hopes that other club members will join her.  This event is the first weekend of May.

 

OLD BUSINESS:

 

501c7 – Bobi asked Patti McClements to give an update on the 501c7 filing.  Patti stated that the application is nearly complete and that Alicia wrote the check for this process this morning.  It is a lengthy process and Patti indicated that it was helpful to have notes from former Board members to call on for history, etc.  The fee for this is $400.  Patti will report at the next regular Board meeting on our 501c7 progress.  In addition, she has filed with the Washington Secretary of State to be recognized as a non-profit in Washington State.  This application is complete however, there was a technical error on the web page and so the status of our application is still pending.  In addition, Patti will look into insurance for the club and Board when she returns to work next week.

 

Webpage – Patti indicated that there had been some feedback from club members that our new website lacked a certain dazzle.  She stated that the current blog style is much easier to manipulate, and we’re no longer waiting for Patrick to post things to the site, so it’s current, fresh, and indicative of what the club is actually doing.  She also stated that she’s been looking at the other websites of the other clubs in our region and ours is stellar in comparison to many.  A committee will be forming that will consist of Bobi Atlee, Dave Calhoun, George Margetan, Patti McClements, Patrick O’Neill and any other club member who is interested.  This committee will review the website and make recommendations on how to improve it.  If you are interested in serving on this committee, please contact Bobi or Patti.

 

FareStart – Alicia Smith gave a brief summary of what the upcoming volunteer opportunity at FareStart will be about and also gave the club a heads up that we will be going back to Compass Center in April and to watch for details in Hump Day News.

 

Elections – Bobi thanked Karren Franckowiak and Chuck Davis for managing the nomination process.  Since there were no contested positions, she introduced the new board members and gave a brief history for each.

Bobi took a few moments to recognize the outgoing Board of Directors, Dave Calhoun, Alicia Smith, and Anne Johnston and thanked them for their hard work and dedication on behalf of every member of the club.

 

By-Laws – Bobi asked if everyone had had an opportunity to review the proposed By-Law changes and if anyone needed additional time, there was no request for more time.  She stated that we would vote on the changes in two votes, the first would be the yellow highlighted changed which were indicative of content changes, such as the dues schedule.  Bobi asked for a motion to approve the yellow highlighted changes.  Moved by Patti McClements, seconded by Kenn Olson, motion carried.  Bobi then stated the pink highlighted changes would be next and that those were indicative of grammatical and punctuation errors.  Bobi asked for a motion to approve the pink highlighted changes.  Moved by Patti McClements, seconded by Kenn Olson, motion carried.  The new By-Laws will be typed up and posted at phops.com.

 

NEW BUSINESS:

 

Parrot Head of the Year – Dave Calhoun presented information on the selection process for Parrot Head of the Year and how it’s always a very difficult decision because so many people give so much to the club.  He stated that the Board accepted nominations and voted at the January 11th Board meeting and he was pleased to announce our 2009 Parrot Heads of the Year, Larry and Karren Franckowiak.  Dave presented the engraved trophy to them and they received a rousing round of applause.

 

Tracking Volunteer Hours – Bobi reminded those in attendance that we need to track our volunteer hours for reporting to PHiP.  She stated that not only hours working an event should be tracked but if you set up or clean up, keep track of those hours as well.  Please send your volunteer hours to Bobi who will keep them.

 

Point Tracking – Bobi reviewed the point system with those in attendance and spoke on how points are earned as set forth in the By-Laws.  Event chairmen/leaders should make sure that you have a signup sheet and make sure everyone signs in.  These should be sent to Karren Franckowiak for tracking.  Patti will put the information on points in the Hump Day News so that it’s easy to find and remember.

 

Storage Unit – Bobi stated that we have been thinking about renting a centrally located storage unit in which we would store things like the Tiki hut, the treasure chest, and items that many members of the club need to get to.  There was some discussion by members who had recently rented such a space and it was the consensus of the group that this would be a good idea.  Alicia will look into this further.

 

Phins To The West – Patti McClements will be putting together a PHoPS northwest themed basket for the Phins Auction.  If anyone has items they would like to contribute, please contact Patti before April 15.

 

Vashon Rotary Concert – Patti stated that she is a member of the Vashon Island Rotary Club and one of their favorite fundraising events has been concerts.  The Rotary President approached her about working with PHoPS on a parrot head themed concert that would take place around June 21.  Patti had given a list of musicians that PHoPS members know and support and told the club that all we would have to do is buy tickets and show up.  Because Patti has been off work for six weeks, she doesn’t have a current status of this concert but will have an update by the next BOD meeting.  Several people in attendance suggested artists who will be in the area in June:  Sunny Jim, Troy Allen, and Curtis Moore were also mentioned.

 

Tin Cup Chalice – Les and Jet Parrett will once again head up the annual golf tournament at North Shore Golf Course in Tacoma, on July 23.  He stated he needs about 5-7 people to be there to help set up and 5-7 people to staff the event and help afterward.  Please contact Les to volunteer.

 

Laid Back Attack – Bobi announced the entertainment lineup for this year’s event.  Opening will be Sam Rainwater from the Arizona Club, Gary Seiler will headline, and Dave Calhoun will close.  Pete DeBoer stated that he has several yacht club members who would like to be part of the planning committee this year.  Bobi also said that the RFP was used for this year’s event.  Karren Franckowiak will lead the planning team.

 

Pirates Landing – Will be on July 10 if anyone would like to chair this event, please contact Bobi.

 

Northwest Latitudes and Attitudes Party – Bobi and Dave Calhoun gave an update on this year’s event, which will be held in Anacortes in August.  Please watch HDN for upcoming details.

 

Mardi Gras 2011 – Alicia Smith stated that she is working on details for a Mardi Gras/mid-winter party for 2011 and that details will be available as planning is started.

 

FUTURE EVENTS/For the Good of the Order:

 

Jerry Bannister stated that he’s working on an event for the north end in late August, either the 21st or the 28th and will get information out to the club as soon as he can.

 

Brenda Riggs Moore reported that she’s working on future events at Oddfellows and is also working with Donna Gardner in Eastern Washington on an event that will be a Jimmy Buffett tribute show.  She’ll make sure to get information on all of these events to Patti and George for publication.

 

Barb Anderson reported that Wayne’s Wing Wednesdays are still going on, the last Wednesday of the month, however the venue will be changing.  She will get details to Patti for publication in HDN.

 

Phil Pompeo reported that they will be hosting the 3rd Annual Thank God the Tiki Bar is Open House Concert on July 24, featuring Scott Kirby.  He will also send information to Patti and George for publication.

 

Silverdale Waterfront Hosting Whaling Days – Wendy???

 

Bobi again mentioned the American Lung Association Walk which will be on May 2 and that she’s looking for walkers.

 

The Alzheimer’s Association will be attending our April Board meeting to talk about ways we can help their organization.

 

Barb Anderson let everyone know that she’ll once again be participating in the Breast Cancer Walk on June 6.  There are plans for a post function BBQ with live music.  The walk this year will be in the area of the Seattle Center.

 

Kenn Olson reported that he’ll be putting together teams for Pajama Bowling for Foster Children this year and told everyone how much fun they had last year.  The date for these events is April 18 and more details will be forthcoming.

 

Brenda Riggs Moore stated that she now has a good contact at Landshark for swag, so if you’re planning an event and Landshark will be served get in touch with her.

 

Wendy Peat reported that Kyle Riffe is getting a lot of press playing with some of the Coral Reefers and rumor has it he may be touring with the man himself this summer.  Great news for our local boy Kyle.

 

Bobi reminded everyone that the next Board meeting will be Thursday, March 11 at the Southcenter Azteca.  At that time, the new board will determine which date they will hold future board meetings on.  The meeting starts promptly at 6:00 p.m.

 

Jeannette Parrett stated that she’s looking for the PHoPS logo in order to have it embroidered on a horse blanket.  She also mentioned that she’ll inquire when she find s someone to do this for her, if the possibility exists to have more items embroidered and if so she’ll let us know.  Bobi stated she has the disc and will get the information to Jet.

 

The drawing was held from the tickets distributed today for being in attendance and wearing your club badge.  Chuck Davis was drawn and he takes home a Sam Rainwater CD.

 

The meeting was adjourned at 12:45 p.m.
